Managing Company Contacts on Web Portal

You have chosen to store and manage your company contacts on Web Portal. If this is not the case, go to Using Company Contacts on the Mail Server to keep and manage your company contacts on the Mail Server. Click on Contacts  in the Web Portal Toolbar to display the Company Contacts page where you can create and manage your contacts directly on the Web. You can use functions such as create, import, edit and delete contacts. All changes are saved automatically after each operation.

Configure Excendia to use Contacts on Web Portal

Here is how you configure Excendia to use the company contacts on Web Portal (instead of the public contacts on the mail server):

  • Click on the Contacts  button in the Web Portal Toolbar to open the Company Contacts page.
  • Click on I want to Store and Manage my Company Contacts on Web Portal.

The Company Contacts on Web Portal page is displayed to enable you to import, add, edit and delete the company contacts to be used during your phone sessions.

Formatting Contact Numbers

You can enter the contact's phone number directly in the phone number dialog box or click on the help ? icon to open a phone details window showing the different fields to fill. Select the phone type and format the number in the TAPI convention as described in How to Format the Phone Numbers of your Contacts.

Entering New Company Contacts Manually

You can create and add new company contacts in the same way users create and add personal contacts on Web Portal. To learn more, go to Entering New Contacts Manually.

Note: To change the maximum number of contacts for your company, please contact your service provider.

Importing Company Contacts as vCards or CSV Files

Make sure to prepare the company contacts before importing them into Web Portal. Go to Prepare your contacts for export to Web Portal to learn more.
You can import contacts from a Comma Separated Values (.CSV) file and add them to your company contacts on Web Portal in the same way users import and add personal contacts on Web Portal. To learn more, go to Importing Contacts from CSV Files.

Selecting the Company Contacts View

You can display your company contacts in one of three views: Contact List, Address Cards or Detailed Address Cards. To learn more, go to Select the Contacts View.

Editing Company Contacts

You can edit company contacts in the same way users edit their personal contacts on Web Manager. To learn more, go to Editing Contacts.

Deleting Company Contacts

You can delete existing company contacts in the same way users delete their personal contacts on Web Portal. To learn more, go to Deleting Contacts.

Switching to Using Company Contacts on the Mail Server

At anytime, you can switch modes to store and manage your contacts on the mail server. Here is how:
  • Click on Contacts  in the Web Portal Toolbar to display the Contact Management page.
  • Click on "I want to Keep my Company Contacts on the Mail Server". 
The display changes to Company Contacts on Mail Server offering you the options to select the location and category of your contacts, and to synchronize your contacts from Web Portal.

Exporting Company Contacts

You can prepare and export company contacts from your existing company account on Microsoft Exchange or Lotus Domino into Web Portal. These operations are the same as what users do to prepare and export their personal contacts from their mail account. To learn more, go to How to Prepare and Export Contacts to Web Portal.
